1. What this page covers

This explains how MM handles personal data across:

  • Workbalance
  • Raptor, Raptor Dojo, Raptor Coder
  • Linkedio
  • GroWorth-sponsored services
  • Any future MM modules

2. What data we collect

We may collect:

  • Account details (name, email, company, role)
  • Usage data (logins, features used, errors, performance)
  • Prompts and configuration metadata (field names, schemas, app structure)
  • Limited sample data when you explicitly approve sending it to AI/LLM services
  • Support communications

We do not copy full production datasets into our own databases unless this is clearly part of a specific service and agreed.

3. Why we process data

We use data to:

  • Provide and secure the services
  • Operate integrations and automations you configure
  • Improve our products using aggregated and de-identified analytics
  • Meet legal and compliance obligations

4. Our role: Controller vs Processor

Depending on the context, MM can be:

  • Controller/Joint Controller for platform telemetry, logs and improvement analytics
  • Processor when we act strictly on your instructions under the Data Processing Addendum

5. Sharing with sub-processors

We use trusted third parties to host and run our services, including:

  • Cloud infrastructure providers
  • Email and notification services
  • LLM/AI providers
  • Payment processors

The current list is maintained in the Sub-processor and AI Provider List.

6. Retention

Typical defaults:

  • Prompt histories: ~90 days
  • Raw logs: ~90 days, with longer retention for aggregated analytics
  • Audit trails (e.g. deletions, consent changes): up to 7 years

We keep data only as long as necessary for the purposes above or as required by law.

7. International transfers

Some sub-processors and AI providers may be outside your country.
Where privacy laws require it, we use appropriate safeguards for cross-border transfers (for example contractual protections and industry-standard security measures).

8. Your responsibilities

You are responsible for:

  • Using our services in a lawful way
  • Configuring access control correctly in your systems and ours
  • Informing your own users about how you use MM services
  • Deciding what data to expose to AI/LLM flows

9. Your rights

Where applicable law grants data subject rights (GDPR, POPIA, etc.), we support them either directly or via the customer who controls the data. Requests can be made using the contact details we provide on our website.
